Discovery Solutions is seeking job seekers for a contract position with one of our customers, Lilly, a leading pharmaceutical company headquartered in Indianapolis, IN.

DESCRIPTION: Summary:
The Administrative Assistant performs general office duties including but not limited to, answering telephone, checking in visitors, arranging and preparing for meetings, typing, data entry, copying, mail sorting and processing, and creation and maintenance of filing systems.
Duties and Responsibilities:
Responsible for answering incoming telephone calls and routing appropriately.
Maintains the appearance of the front office, small break room and surrounding conference rooms.
Greet all visitors to the site in accordance with the Visitor Acknowledgement Policy by ensuring that the visitor has completed the Visitor Acknowledgement form, met up with their host, has a name badge and logged in and out of the log book. This person is also responsible for scanning and filing the forms.
Proactive ordering and maintaining inventory of office supplies for the Front Office area.
Preparing and editing correspondence, reports, announcements and presentations.
Data entry for various departments, including but not limited to accounts payable batches and training records.
Assists managers in scheduling meeting. This may include arranging IT or Facilities support, ordering lunches or refreshments, preparing handouts, etc.
Maintains office machines (printers, fax machines, copiers, and postage machine) and works with IT and outside vendors to troubleshoot issues. This will include changing cartridges, toner, ribbons, and replenishing postage.
Responsible for incoming and outgoing mail: sorting, and distributing to appropriate interoffice mailbox, and preparing outgoing mail.
Provides administrative assistance for various departments on special projects as assigned.
All other duties as assigned.
EXPERIENCE: 0-3 Years of Experience
Notary certification a plus.
Strong communication skills
Strong problem identification and resolution skills.
Demonstrated ability to multitask.
Demonstrate a high level of initiative.
Must be proficient in Microsoft Word, Excel and Outlook.
Must be flexible and have exceptional organizational skills.
Confidentiality is essential.
EDUCATION: High School Diploma or equivalent
